What are staff?

The staff that work in your studio can given a login to Jammed. This allows them to see the schedule, bookings and make new bookings or changes to existing bookings as they come in.

You can also enable bookable staff members and setup staff members that can be booked by customers when making a booking, for example a photographer, videographer or sound engineer or producer.

# Inviting staff to Jammed

To invite staff to Jammed, click the Invite staff button in the top right of the staff page.

You will be presented with a form to fill out. Enter the email address of the staff member you want to invite and click Invite. The staff member will receive an email with a link to create their account from Jammed and set their password. Once they have done this, they will be able to login to Jammed.

# Staff profiles

Staff profiles can be edited by clicking on the staff member's name in the staff list. You can edit the staff member's name, email address, and whether they are an admin or not. If you have enabled bookable staff members, you can also edit the staff member's hourly rate, job title, photo and other settings here.

Changing and resetting staff passwords

Jammed doens't allow you to set staff passwords, instead you can invite staff to Jammed and they will be sent an email with a link to set their password. If you need to reset a staff member's password, you can do so by clicking the Reset password button in the staff profile.

# Admin or regular staff

When inviting staff to Jammed, you can choose whether they are an admin or regular staff member. Admin staff have access to all sections of the admin section within Jammed, while regular staff only have access to things related to the day-to-day running of the studio like the dashboard calendar, bookings, customers, bands and reports. Additionally, only admin staff can invite new staff or change other staff members in Jammed, and regular staff can only edit their own profile.

# Bookable staff

Supercharge your studio by offering staff members with bookings. As customer book online they can reserve a photographer, videographer, sound engineer or producer. Your customers pick which specialist they want when booking, and payment is all sorted up front

To enabled bookable staff, click the Bookable staff members setting button at the top of the staff page. This won't immediately all staff to be bookable, but will allow you to setup the staff members that can be booked by customers, and shows you more options when editing a staff member.

To make a staff member bookable by customers, click the staff member's name in the staff list. You will be presented with a form to edit the staff member's profile. Scroll down and check the Can be assigned to bookings checkbox. You can also set the staff member's hourly rate, job title and other settings here.

# Availability for booking

There are two settings that control how a staff member's availability is shown to customers when making a booking.

  • Available online: This enables the staff member to be booked online by customers. With this selected the staff member will be shown as available on the booking calendar when they are not booked for a session. If this is not selected, the staff member will not be shown as available on the booking calendar.
  • Only when manually assigned: This doesn't show the staff member as available on the booking calendar to customers, but allows you to manually assign the staff member to a booking. This is useful if you want to allow customers to book a session, but you want to assign a staff member to the booking after the booking has been made, or need to confirm the availability of the staff member before assigning them to a booking.

# Staff weekly rota

A staff member's weekly working rota can be set by changing the Available on days boxes in the staff profile. You can set the staff member's availability for each day of the week, and set the staff member as unavailable for a whole day or for a specific time period. At the moment, you can't override a staff member's availability for a specific date, but this is something we are working on.

# Bookable staff costs

When a staff member is assigned to a booking, the cost of the staff member is added to the booking cost. The cost of the staff member is calculated by multiplying the staff member's hourly rate by the number of hours they are assigned to the booking for. For example, if a staff member is assigned to a booking for 4 hours and their hourly rate is £50, the cost of the staff member will be £200. This can be changed using the Price per hour setting in the staff profile.

You can also set a base price for each booking the staff member attends by setting the Price per booking in the staff profile. This is useful if you want to charge a fixed amount for a booking, for example if you want to charge a fixed amount and not an hourly rate for a session.

You can also combine the two settings, for example if you want to charge a fixed amount for a booking and an hourly rate for the time the staff member is assigned to the booking for. For example, if you want to charge £10 for a booking and further £10 per hour for the time the staff member is assigned to the booking for, you can set the Price per booking to £10 and the Price per hour to £10. If the staff member is assigned to the booking for 4 hours, the cost of the staff member will be £50.
